Data Use & Privacy Notice *

To organize and administer the IBMC, we will collect and process personal information you provide (such as names, contact details, academic background, and team composition). This is necessary for scheduling, communication, logistics, and participation. We may also contact you with information about future editions or related IBMC initiatives. Your data will be handled confidentially and in accordance with the GDPR. The team leader confirms that they are authorized to submit this personal data on behalf of all team members.

Public Visibility & Media Consent

During the IBMC, photographs and video recordings may be taken for promotional and communication purposes, including use on the IBMC website, social media channels, and future event materials. For teams that are selected, we will request a personal photograph and short biography from each team member for possible publication on the IBMC website. Providing consent for any of these purposes is voluntary and does not affect eligibility to participate. Consent may be withdrawn or altered at any time by contacting the IBMC organizing team at blanca@ibmc-amsterdam.nl. Participation Terms & Commitment *

Registering a team implies a commitment to the competition. If selected, a participation fee of €35 per team member (students and coaches) is due and must be paid within two weeks of receiving the selection notification. The team leader is responsible for ensuring timely payment on behalf of the entire team. This fee will be refunded in full within two weeks after the competition, provided the team has participated as scheduled and remained available and eligible for all rounds in which they were expected to compete. The refund is not linked to performance or results, and it is not connected to any part of the optional social program or additional activities (such as the welcome or award ceremony). The refund is processed as one amount per team, not per individual participant, since participation is considered a shared responsibility of the entire team. Failure to meet these participation conditions may result in the team not being eligible for a refund, except in cases of force majeure (e.g. serious illness or major travel disruptions). Visa denial may be considered a valid exception only if the application was submitted in a timely and diligent manner, and the failure is clearly beyond the participant’s reasonable control. Such cases will be handled in good faith dialogue with the organizing team. It is the team’s responsibility to assess their visa timeline and only confirm acceptance if timely participation can reasonably be ensured. Team composition may still be adjusted up until the moment of acceptance (for example, changes in the number of students or coaches), provided the final team complies with the eligibility criteria—a minimum of two and a maximum of four students, and no more than two coaches. Any such changes must be clearly communicated in the same email in which the team confirms its acceptance. The team must remain available to take part in all scheduled rounds for as long as they remain in the competition, and the team leader is expected to ensure this availability. Please note that the participation fee—and its payment—is entirely separate from the optional social program, which will be announced at a later stage.
